VIDEX application and declarations

Print all VIDEX pages/barcodes; sign the accuracy and insurance declarations. Follow VFS/mission appointment and biometric instructions.

Application submitted by a representative

If a representative submits: signed authorisation and their passport copy.

Passport and page copies

Issued within ten years, valid three months beyond return, two blank pages; copy biodata/address pages. Data-page observations are not accepted.

Biometric photograph

At least one 35 × 45 mm white-background photo, at most six months old, with 70–80% face coverage.

Travel plan and accommodation

Cover letter, itinerary, flight reservation and accommodation throughout the trip. Hosted stays need host confirmation, address and identity evidence.

Schengen travel medical insurance

Cover the entire Schengen trip for at least EUR 30,000. Indian policies must be from a German-Missions-accepted insurer; check the linked mission list before purchase.

Employee economic evidence

Three months of payslips and bank-stamped statements; employment contract, leave approval, and two assessment years of ITR acknowledgements or Form 16. Required even when sponsored.

Self-employed economic evidence

Company registration including GST where applicable, three months of bank-stamped personal statements, and two assessment years of ITR acknowledgements or Form 16. Required even when sponsored.

Retirement income evidence

Three months of pension statements and/or regular property/business income, plus three months of bank-stamped statements. Sponsorship does not replace this.

Student economic evidence

Enrolment certificate and school/university no-objection certificate; university students also provide three months of bank-stamped statements.

Unemployed applicant financial evidence

Three months of bank-stamped personal statements, including when another person funds the trip. Passbook copies are not accepted.

Individual sponsor in India

Sponsor letter, passport copy and three months of bank-stamped statements; marriage/birth evidence if sponsored by spouse/parent.

Individual sponsor in Germany or EU

Sponsor letter and passport; German residence permit where applicable; formal obligation letter if provided, and spouse/parent relationship evidence where applicable.

Company sponsor in India

Sponsorship/accommodation evidence plus the company’s last three years of ITR acknowledgements. Applicant economic evidence is still needed.

Company sponsor in Germany

Sponsor letter, sponsor passport and German residence permit where applicable. Applicant economic evidence is still needed.

Applicable civil-status records

Marriage, divorce/custody, children’s birth or spouse’s death records as applicable; single applicants need no additional civil-status record under this item.

Child identity and parents’ passports

Birth certificate and custody-holding parents’ biodata/address passport copies. Both parents sign the application and declarations; sole-custody exceptions require mission review.

Visas of parents not submitting with the child

If either parent does not submit the application with the child, provide that parent’s visa copy.

Sole-custody evidence

When one parent submits with sole custody, provide the court ruling or the other parent’s death certificate.

Absent parent’s submission authorisation

For shared custody and one submitting parent: written signed authorisation and absent parent’s passport copy, both certified by a public notary.

Consent for travel without parents

When neither parent accompanies the child: consent from both custody-holding parents/guardians, certified by a public notary.

German or English translations

Documents not in German or English need proper translation into either language. The checklist does not establish a universal sworn translator, notarisation or apostille rule. Confirm translator acceptance before ordering.
